When to Send

Send during the first two weeks of each quarter (January, April, July, October). Avoid sending on Mondays or Fridays when inboxes are most crowded. Mid-week mornings around 10 AM local time perform best.

Common Mistakes

Sending a generic mass email without any personalization — at minimum include their name and the role they previously applied for
Focusing only on job openings without sharing genuine engineering content that provides value regardless of whether they re-apply
Letting the newsletter become stale by not updating highlights or including outdated job listings

Personalization Advice

Segment your pipeline by role type (frontend, backend, full-stack, DevOps) and tailor the engineering highlights and open roles accordingly. Reference their previous interaction: 'You interviewed for our Senior Backend role last spring' goes a long way toward making this feel personal rather than mass-mailed.

Follow-up Cadence

Send quarterly on a consistent schedule. If a candidate clicks on a role link or replies, follow up within 48 hours with a personal email. After four consecutive newsletters with no engagement, move the candidate to a low-frequency annual update list.
